Pinellas AI provides AI strategy, implementation, automation, and related consulting services. This policy explains what information we collect through this website and in the course of providing those services, how we use and share it, how long we keep it, and the choices available to you.
1. Who we are and scope
Cain Ventures LLC d/b/a Pinellas AI(“Company,” “we,” “us,” or “our”) provides artificial intelligence strategy, automation, and implementation services to businesses across Pinellas County, Florida.
This policy applies to visitors to this website, prospective clients who contact us through our forms or scheduling tools, and clients whose personnel interact with us in connection with the services. Where we process personal data on behalf of a client as part of delivering the services, that processing is also governed by the Client Data Processing Agreement we enter into with that client, which controls in the event of a conflict with this policy.

2. Information we collect
- Information you give us. When you complete the audit request form you provide your name, business name, email address, phone number, website, team size, the goals and processes you describe, your scheduling preference, and any notes you add. You may also share information during consultations, onboarding, or ongoing service delivery.
- Information collected automatically. Standard web server records such as IP address, browser and device type, referring page, and pages viewed.
- Information from third parties. We may receive information about you from advertising platforms (for campaign performance and attribution) or from a client who submits your contact information to us in connection with a project.
- Communications. Emails, text messages, and call records exchanged with us in the course of a prospective or active engagement.
We do not knowingly collect payment card numbers, government identifiers, or health information through this website.
3. How we use your information
- To respond to inquiries and schedule consultations;
- To provide, maintain, and support our services;
- To manage our CRM and client relationships;
- To operate and measure our marketing, including email, advertising, and analytics;
- To maintain the security and integrity of our website and systems;
- To comply with legal, tax, and accounting obligations.
4. AI systems and automated processing
Our services involve the use of artificial intelligence, including providers such as OpenAI, Anthropic, Google, or Microsoft, depending on the engagement. When we use AI systems in connection with the services:
- Customer data you or your organization submit to us is used to deliver the services you have requested.
- Training data. We do not use customer data to train, fine-tune, or improve any AI model unless we have expressly agreed to do so with you in writing.
- AI-generated outputmay be reviewed by our team before delivery, but AI systems can make mistakes. We do not guarantee the accuracy of AI-generated output, and clients remain responsible for reviewing it before relying on it or putting it into production. It is provided “as is” unless otherwise agreed in writing, and should not be treated as legal, medical, or financial advice.
- Prompts, logs, and metadata generated in the course of using AI systems are handled per our data retention schedule in Section 7 and the terms of the applicable AI provider.
5. Cookies and tracking technologies
This website currently sets no cookies and runs no analytics or advertising trackers. We do not use cookie-based tracking to operate the site, and no consent banner is required for it in its present configuration.
If we later enable analytics (Google Analytics and Google Tag Manager) or advertising measurement (Google Ads, Meta Ads, LinkedIn Ads), those technologies will set cookies and collect usage and attribution data, and this section and our cookie disclosures will be updated before they are turned on.
6. How we share your information
We share information with service providers who help us operate our business and deliver the services:
- Website hosting and application infrastructure — Vercel. Pages are served and form submissions are processed here.
- Domain and DNS — Cloudflare.
- Source code repository — GitHub.
- Lead and contact records from this website — Attio, our customer relationship management platform. Audit requests submitted through this site are stored there.
- Client relationship management, email, and SMS marketing — GoHighLevel.
- Email, productivity, and scheduling — Google Workspace and Google Calendar.
- Workflow automation — n8n and Vercel.
- AI providers used to deliver the services — which may include OpenAI, Anthropic, Google, or Microsoft, depending on the engagement.
- Advertising and analytics — Google Ads, Meta Ads, LinkedIn Ads, Google Analytics, and Google Tag Manager, where and when those are in use.
We do not sell personal information. We may disclose information where required by law, to protect our rights, or in connection with a merger, acquisition, or sale of business assets, in which case this policy would continue to apply unless you are notified otherwise.
7. How long we keep information
We retain personal information only as long as necessary for the purposes described in this policy. Our current retention schedule:
- Contracts, invoices, and financial records — 7 years;
- Client project files (deliverables, workflows, configurations) — 5 years after project completion;
- CRM records — 5 years after the business relationship ends;
- Prospective client information, where an inquiry did not become a client — 24 months after the last interaction;
- Marketing contacts — until consent is withdrawn, or after 24 months of inactivity, whichever comes first;
- Support emails and correspondence — 5 years;
- Website contact form submissions — 24 months;
- Server logs — 90 days; security logs — 12 months;
- Backups — 90-day rolling retention;
- Google Analytics data, where enabled — 26 months;
- AI prompts, outputs, and workflow logs — 12 months, unless a client agreement specifies a different period.
These periods are governed in full by our Data Retention Policy, which controls in the event of any discrepancy. We will retain data beyond these periods where a legal hold, subpoena, audit, or reasonably anticipated legal claim requires it.
8. Data security
We use reasonable technical and organizational measures designed to protect the information we collect, including access controls and the use of established, reputable infrastructure and software providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Our website is hosted with Vercel, which acts as a subprocessor with respect to data processed through the site, including submissions to our audit request form. Domain and DNS services are provided by Cloudflare. Traffic to this site is served over encrypted connections.
9. Marketing communications
- Email. Our marketing emails include an unsubscribe mechanism, consistent with the CAN-SPAM Act. You may opt out at any time.
- Text messages. Where we send SMS or other automated communications, we do so consistent with applicable TCPA consent requirements. You may opt out at any time by replying STOP or contacting us.
10. Our approach to applicable law and your rights
We structure our privacy and marketing practices around the laws most likely to apply to a U.S.-based AI consulting business, including the FTC Act's prohibition on unfair or deceptive practices, the CAN-SPAM Act, the Telephone Consumer Protection Act, the E-SIGN Act, applicable state data breach notification laws, and U.S. state consumer privacy laws where they apply to us based on statutory thresholds.
Where a state consumer privacy law applies to us, you may have rights to access, correct, delete, or receive a copy of your personal information, or to opt out of certain uses. You can make a request using the contact details in Section 13, and we will respond as required by the applicable law.
11. International visitors
Our services are directed to businesses in the United States. If you access this website from outside the United States, your information may be processed in the United States, where privacy laws may differ from those of your jurisdiction.
12. Children's privacy and third-party links
This website and our services are directed to businesses and are not intended for individuals under 18. We do not knowingly collect personal information from children.
This website may link to third-party sites. We are not responsible for their privacy practices, and we encourage you to review their policies.
13. Changes and contact
We may update this policy from time to time. The date at the top indicates when it was last revised. Material changes will be reflected here and, where appropriate, communicated to clients.
